Volunteer Positions

We have 3 types of volunteer positions; executive board members, chair members, and members at large.


• Executive Board Members - All executive board positions are up for election/re-election annually. Elections are held in Spring with a secondary election in Fall to fill any open positions.


• Chair Members - We also have many specialized positions that do not require electing. Chairs can be tailored to your interests and/or skills and can take as little or as much time as you wish to donate.


• Members At Large - For those who are unable to commit to a specific position, we offer a “Member At Large” option. This applies to anyone volunteering or donating on an as-needed basis.


**No experience necessary. All members will be trained in their role.**

PTA Board Positions

These positions are steadfast and the job descriptions are less flexible (for more flexible positions see "chair positions" below). The positions of President, Secretary, and Treasurer must be filled in order for our PTA to maintain "active" status from year to year.

President

• Oversees and coordinates the work of an executive board to run a PTA effectively
• Presides at PTA board and association meetings
• Serves as the official contact, communicator and representative of a PTA
• Designated as an authorized signer for PTA checks, contracts and authorizations for payment
• Serves as ex-officio member of all committees except the nominating committee
• Works with other PTA leaders to connect families, school and community to support student success
• Monthly meeting agenda sent before the meeting and leads the meetings
• Time commitment: 10 - 20 hours per month

Secretary
• Takes minutes at board and association meetings
• Co-signs formal papers with president: authorizations for payment, resolutions and formal letters
• Handles PTA correspondence as directed by the president
• Maintains and preserves PTA records and important documents to pass on at the end of the term
• In charge of monitoring email account, sending accordingly and following up
• Time commitment: 5-10 hours per month

Treasurer
• Maintains permanent records to track unit funds and financial transactions
• Chairs budget committee and prepares annual budget for adoption by the association
• Pays all PTA bills as authorized by board or association
• Prepares reports for every board and association meeting and an annual financial report
• Ensures taxes and reports required by PTA bylaws, insurance or federal and state governments are completed and submitted by the due dates
• Time commitment: 5-10 hours per month

VP Communication
• Runs social media, newsletter, bulletin board
• Connect families and schools, encourage parent participation
• Market the value and accomplishments of PTA
• Promote joining PTA and work closely with membership VP
• Foster cooperation with the school
• Publicizes family engagement activities and events using newsletters, website, social media 2 social media posts a week
• Maintain newsletter weekly
• Time commitment: 5 - 10 hours per month

VP Ways/Means (Fundraising)
• Plan and organize fundraising activities
• Focuses on raising the amount of funds needed to meet the unit’s budget
• Presents reports on proposed fundraising activities at board and association meetings for approval Put together committees for events and monitor success
• Time commitment: 5-10 hours per month, could be more during event time

VP Membership
• Plan the annual membership campaign
• Responsible for creating and implementing a membership plan
• Promoting membership throughout the year
• Providing membership reports at PTA board and association meetings
• Collecting dues and distributing membership cards
• Working with front office to welcome all new families
• Time commitment: 5 hours per month, could be more in the beginning of school year

PTA Chair Positions

These positions are flexible and just suggestions! They are based on the skills that members bring and the current needs of the students and families of Breeze Hill. If you have a skill you can share feel free to suggest how your skills could help!


Chairs we are 
5th Grade Promotion Coordinator
• Work with the PTA president, principal, and 5th grade teachers to coordinate 5th grade promotion event

Spirit Wear Coordinator
• Work with the PTA president, principal, and vendor to design, order, and distribute school logo gear

Yearbook Creator
• Work with the PTA president, principal, and vendor to design, order, and distribute the yearbook

Fall Fundraiser Coordinator
• Work with the PTA president, principal, and vendor to collect payments and distribute orders for fall fundraiser

Community Engagement

• Plans and organizes family engagement outreach, programs, and activities for the school year

Community Outreach
• Identify and break down barriers that impede children from learning, or families from their full involvement in their children’s education

Education
• Inform and educate the PTA membership through programs, conferences and workshops, projects and newsletters, and also inform parents how they can gain access to additional resources
• Regularly attend school board meetings, gathering information to be shared with the membership

Classroom Liaison
• Works with teacher(s) and parents/guardians, as a parent contact and liaison, to build stronger family-school partnerships for a classroom or grade level

Volunteer Coordinator
• Works with the PTA president, principal, and teachers to coordinate volunteer assignments at the school to support student success

PTA Member at Large

This position applies to anyone volunteering on an as-needed basis.
